Why Your Business Might Be Growing Too Fast (and How to Fix It)

Most entrepreneurs think that "too much business" is a champagne problem. They believe that as long as the phone is ringing and the orders are coming in, everything is fine. But I’m here to tell you, from over 25 years of helping founders stay on their feet, that growing too fast can be just as dangerous as not growing at all.

In my two decades of business coaching, I’ve seen brilliant companies fold not because they lacked customers, but because they lacked the foundation to support them. It’s like trying to put a Ferrari engine inside a lawnmower frame. You’ll go fast for a second, but then the whole thing is going to shake apart.

If you feel like you’re constantly "in the weeds," reacting to fires instead of planning your next move, you might be hitting what I call the Growth Trap. Here is how to spot it and, more importantly, how to fix it before it breaks your business.

The Warning Signs: Is Your Foundation Cracking?

Growing the right way isn't about how much money you’re making today. It’s about whether you’ll still be making it next year. When growth outpaces your systems, the cracks start to show in very specific ways.

1. You’re always short on cash, even with high sales

This is the most common sign. You’re busier than ever, but your bank account is empty. Why? Because fast growth eats cash. You’re buying more inventory, hiring people, and paying for bigger software subscriptions before the new customer money actually hits your account. If you’re constantly stressed about making payroll despite "record sales," your growth is outrunning your cash flow.

2. Customer service is starting to slip

Remember when you knew every client by name? Now, emails are going unanswered for three days, and mistakes are happening on simple orders. If your reputation for quality is being traded for quantity, you’re in trouble. A "vendor" just cares about the transaction. A "visionary" partner, the kind of business owner I help you become, cares about long-term trust.

3. You (and your team) are completely burned out

If you look around and see tired eyes and short tempers, you’ve hit a wall. You can’t run a marathon at a sprinter’s pace forever. When the systems that run your business aren’t doing the heavy lifting, your people have to. And people eventually break.

Why Scaling Without a Plan is a Trap

In business, there is a big difference between "getting big" and "getting better."

I’ve spent 25 years watching founders chase the next sale while their back office is a mess of sticky notes and spreadsheets that no one understands. They think, "I'll fix the paperwork once I hit that next level." But by the time they get there, the paperwork is so messy that fixing it takes far more time, money, and energy than it should.

When you don't have the systems that run your business organized from the start, every new customer actually makes your life harder. You aren't building an asset. You’re building a bigger job for yourself.

My goal as a business coach is to move you from being the "person who does everything" to the "leader who oversees everything." That requires a shift in how you look at your daily work. I’m not just looking for growth. I’m looking for stable growth.

How to Fix It: Building the Systems That Run Your Business

If any of those warning signs sounded familiar, don't panic. You don't have to stop growing, but you do need to "tap the brakes" and fix your business foundation. Here are the four steps I walk my clients through:

1. Audit your daily tasks

Take a hard look at where you are getting stuck. Is it invoicing? Is it answering the same three questions from customers over and over? Write down every task that takes you away from leading. If it can be documented in a checklist, it shouldn't be in your head.

2. Cap your capacity (for now)

It sounds scary, but sometimes you have to say "no" or "not yet" to new business. If you take on one more client and it causes three current clients to leave because your service crashed, you haven't grown, you’ve shrunk. Decide exactly how many customers you can handle perfectly right now, and don't go over that until your systems are ready.

3. Use tools, not just people

In 2026, we have incredible tools at our fingertips. I often suggest using AI or automation to handle the boring stuff, like scheduling or basic follow-ups. But remember, AI is just a tool to support your team, not a replacement for your human touch. It’s about giving your people more time to do the work that actually requires a brain and a heart.

4. Focus on "Scope-to-Budget"

Stop trying to offer everything to everyone. One of the biggest reasons businesses grow too fast and fail is doing extra work for free because you didn't set clear boundaries. I teach my clients to align what they deliver exactly with what the client's budget allows. This protects your time and your profit.
